Pool estimating software for pool builders

Pool estimating software prices a pool from its geometry and selections: excavation volume, steel, shotcrete or gunite, plumbing and equipment, tile, coping, interior finish and decking, plus permits and labor. Pool builders usually pair a 3D design tool such as Structure Studios' Pool Studio, which includes calculations from the design1, with an estimating and price book system such as ProDBX that turns selections into a priced proposal2. Pool Studio is $147 per user per month ($125 billed annually)1; ProDBX lists $19 to $139 per user per month3.

What a pool takeoff measures

ItemUnitWhat to watch
Excavation and haul-offCYPool volume plus over-dig for forming and shell thickness. Access, soil and haul distance change the price more than the volume.
SteelLF or LB, by spacingRebar grid spacing over the shell surface area, plus bond beam steel. Engineering sets the schedule.
Shell (shotcrete or gunite)CYShell surface area times thickness, plus benches, steps, spa walls and raised beams.
Plumbing and equipmentLF pipe, EA fittings and equipmentPipe runs to the equipment pad by size, returns, drains, skimmers, pumps, filters, heaters and automation.
Tile, coping and interior finishLF and SFWaterline tile and coping by perimeter; interior finish by surface area including steps and benches.
DeckingSFPavers or concrete deck by area, with base and drainage.
Electrical and bondingEA and LFPool lights, equipment circuits and the bonding grid, usually by a licensed electrical subcontractor.

How a pool estimate is built

  1. Design the pool with the homeowner or from the plans: shape, size, depths, steps, benches, spa and water features.
  2. Calculate excavation, shell, steel, plumbing runs, tile and coping perimeters and interior surface area from the design.
  3. Add selections: equipment package, finish, tile, coping, decking, lighting and automation, from a price book with current costs.
  4. Add site conditions: access, haul distance, soil, retaining walls, drainage, and utility conflicts.
  5. Add permits, engineering, inspections, fencing or barrier requirements, and subcontractor quotes for electrical, gas and fencing.
  6. Build the proposal with options, get signatures, and carry the estimate into the build schedule and job costing.

What to look for in pool software

Design that produces quantities

When the 3D design calculates surface area, perimeter and volume, the estimate stays in sync with what the homeowner approved.

Price book with selections

Pool sales are option-driven. A price book with equipment, finishes and add-ons lets the sales team build a priced proposal in front of the customer.

Margins set in advance

Pricing should come from margins and take-off calculations you configure once, not from a salesperson's guess on each job.

From proposal to build

Carrying the signed estimate into scheduling, purchasing and job costing shows whether each pool made the margin you priced.

Residential pool builders vs commercial pool contractors

Residential pool builders design and sell in the same meeting, so design software that calculates quantities and a price book that prices selections are the core of their estimating. The estimate is a proposal with options, not a bid to a GC.

Commercial pool contractors working on hotels, schools and aquatic centers bid from architect and engineer drawings. Their takeoff looks more like a concrete and mechanical estimate, measured on PDFs, with the pool equipment and finishes priced from specs and supplier quotes.

Pool bonding, lights and equipment circuits

The electrical work on a pool is front-loaded. The equipotential bonding has to be in before the shell is shot and before the deck is poured, so the electrician's first trip is tied to the steel inspection, not to the end of the job. Under the 2023 NEC text of 680.26(B)(2), perimeter bonding extends 3 feet horizontally beyond the inside walls of the pool, covers unpaved as well as paved surfaces, and on a conductive shell attaches to the reinforcing steel or copper grid at a minimum of four points spaced evenly around the pool6. If the deck contractor uses pavers or the deck is split between trades, decide who installs the grid under it.

The rest of the electrical scope follows the equipment list: circuits for pumps, heaters, chlorinators and automation, underwater and deck lighting, and receptacles around the deck. Electric heaters and spa equipment are heavy loads, so run a load calculation before promising an owner that the pool fits on the existing service. On indoor commercial pools the dehumidification units are sized in the HVAC estimate, and the electrical estimator needs their nameplate data early to size feeders.

On hotels, schools and aquatic centers the pool lights, deck lighting and equipment room devices are drawn on the electrical sheets like any other area, and they go into the electrical estimate with their own labor. AmpCount counts those fixtures and devices from the plans; the shell, plumbing and finishes stay in pool software.

Where pool takeoffs go wrong

  • Excavation priced from pool volume only, without over-dig, access limits, rock or haul distance.
  • Interior finish and tile measured from the plan shape without steps, benches and spa walls.
  • Equipment runs priced as a fixed allowance when the equipment pad is far from the pool.
  • Leaving out the barrier or fence the local code requires around the pool, which is often a separate trade.
  • Price books that are not updated when equipment and material prices change between design and contract.

Trades that bid the same job

A pool bid rarely stands alone. The trades next to it on the schedule read the same drawings and often share scope lines, so it pays to know how they take off too: landscape estimating software, fence estimating software, concrete estimating software and earthwork takeoff software.

Where AmpCount fits

AmpCount only counts electrical devices and fixtures, so it does not estimate pools, shells or pool equipment. Pool lighting, equipment circuits and bonding are electrical scope, and on commercial projects the electrical contractor can count pool and deck lighting and devices on the electrical sheets with AmpCount.

Questions

What software do pool builders use for estimates?

Many residential builders pair a 3D design tool such as Pool Studio1 with an estimating and price book system such as ProDBX2. Commercial pool contractors working from drawings can measure the PDFs in tools like Bluebeam or STACK45.

How much does pool estimating software cost?

From vendor pages checked November 2026: Pool Studio is $147 per user per month or $125 billed annually1, and ProDBX lists $19 to $139 per user per month with introductory promos for new customers3.

Can pool design software calculate quantities?

Structure Studios lists calculations as part of its design tools1. Check that the outputs you need (surface area, perimeter, volume) export cleanly into your estimate.

What is most often missed in a pool estimate?

Site conditions: access for equipment, rock, haul distance, drainage and the code-required barrier. Those swing the price more than the pool shape.
